The Hiring unit oversees two specialised training entities: the Malta International Training Centre (MITC), Malta’s leading institute for insurance, risk management, and financial services education; and EMCS Academy, which delivers professional development programmes focused on leadership, HR, communication, and organisational growth. Together, these academies provide accredited and industry-driven learning pathways that support both technical and soft-skills capacity building across sectors. This position forms part of the department responsible for coordinating and administering these academies, ensuring high-quality delivery, smooth operations, and an excellent experience for all learners and stakeholders.

 

The Role

The role is available on Full-time basis for a fixed period of three years. The selected candidate will play a key operational role in the day-to-day coordination and delivery of the Tourism Excellence Malta ESF+ project, providing structured project, administrative, and logistical support across multiple workstreams.

Working closely with the Project Manager and Senior Coordinators, the role contributes to the effective delivery of training programmes, stakeholder coordination, compliance-driven documentation, reporting requirements, and operational planning. The position requires a high level of organisation, attention to detail, and the ability to work independently within a regulated, deadline-driven environment.

In addition, the role provides experienced administrative support across EMCS Academy and MITC, contributing to the wider operational effectiveness of the organisation as required.

 

Responsibilities

This role supports the implementation of the Tourism Excellence Malta ESF+ project and provides operational support to EMCS Academy and MITC.

The Project Support Officer is expected to manage assigned tasks with a high degree of autonomy, maintain accurate project records, and proactively coordinate activities to ensure timelines, compliance requirements, and quality standards are consistently met.

 

Duties

  • Supporting the Project Manager in the coordinated delivery of project activities across planning, implementation, and reporting phases.
  • Managing and maintaining project documentation and records in line with ESF+, MTA, and Contracting Authority requirements.
  • Coordinating the preparation, collection, verification, and filing of participant documentation, including registrations, attendance records, identification documents, and evaluations.
  • Coordinating training schedules, venues, and logistics across Malta and Gozo, liaising with trainers, venues, and internal teams.
  • Maintaining accurate participant databases, trackers, and progress records, ensuring data integrity and audit readiness.
  • Supporting the preparation of quarterly progress reports and associated supporting documentation.
  • Assisting with Learning MS administration, including content uploads, participant access management, and basic technical coordination.
  • Acting as a key point of contact for participant communications, including schedules, reminders, venue information, and logistical instructions.
  • Supporting the planning and coordination of international study visits, including documentation and logistical arrangements.
  • Providing experienced administrative support to EMCS Academy and MITC as required, contributing to operational continuity.

 

Essentially Primary Requirements

  • Minimum MQF Level 5 qualification or equivalent in Administration, Business, Project Management, or a related field.
  • Demonstrable experience working on EU-funded or publicly funded projects, ideally in a support or coordination capacity.
  • High proficiency in Microsoft Office (especially Excel, Word, and Outlook).
  • Excellent command of written and spoken English
  • Confidence in working with digital platforms and learning new systems quickly.
  • Ability to work within structured compliance and reporting frameworks.

 

Desirable

  • Experience in training, education, or event coordination.
  • Knowledge of GDPR principles.
  • Basic analytical and reporting skills (Excel pivot tables, summaries).
